Process For Handling Visitors
Ele-Reception has been developed for and with schools. There are options to suit your process for dealing with visitors, however, the following process helps provide security and has been welcomed by Ofted Inspectors.
Having a rigid process ensures you are following guidlines as well as offering security in your school.
Signing in visitors: (Standard)
STEP 1: Are you expecting the visitor and can you verify they are who they say they are? Many schools consider it good practice to request ID for visitors they do not know or have seen before. Visitors should be unable to sign in without permission or knowledge of reception.
STEP 2: Once you are happy the visitor is who they say they are, the visitor is handed a chipped/numbered visitor lanyard/card and asked to sign in. The visitor is unable to sign in without the card. (If DBS not provided or should not be left alone in specified sectors of the premises they should be presented with a 'Red' lanyard so they can be easily identified. Another colour for DBS cleared/authorised visitors). Stickers fall off or if applied to coats or jackets may be removed.
STEP 3: Visitor should be presented with 'terms and conditions' of visiting your school of which they need to agree. (If they do not agree they are prevented from signing in).
STEP 4: If a visitor is to be working with or by children they should be asked to complete their DBS number when signing in. The system will not allow the process to continue without entering. If not required the system will allow sign in. (Be provided with red visitor lantard).
STEP 5: When leaving/signing out, the visitor uses the provided numbered card to sign out and hand the card back to reception. Visitors should not be presented with a list of who is on site to choose which is them. Sensitive visitors may be on site, any visitor should not be able to press a button to see all.
Regular Visitors
As a school you will have visitors who attend on a regular basis. A process should be in place to ensure they do not need to spend time inputting data each time they arrive.
These visitors should be able to sign in quickly and easily by typing/selecting their name. (It is good practice that they still require a lanyard to sign in/out).
To be pre-registered on the system, they need to provide a DBS number which is held on record within the system. The Ele-Reception system has been designed to support this.
Staff
To enable a fire evacuation record to be produced, staff should also sign in and out of the school.
To ensure the process of signing in and out is as efficient as possible, staff should be assigned with a chipped ID card (Can be printed by School Supplier) or use a fob or existing Paxton card or fob.
